News about the Conference Hotel

We are pleased to announce that the 79th Annual Meeting of the American Society for Aesthetics will be held in Montreal, Canada, November 17-20, 2021.

We acknowledge that we are meeting on the traditional territory of the Kanien’kehà:ka, a place which has long served as a site of meeting and exchange amongst many First Nations including the Kanien’kehá:ka of the Haudenosaunee Confederacy, Huron/Wendat, Abenaki, and Anishinaabeg. We recognize and respect the Kanien’kehà:ka as the traditional custodians of the lands and waters on which we meet.

  • Our conference hotel has installed new UVC purifiers for air circulation that kills 99% of bacteria. The hotel requires masking, social distancing, and hand sanitizing at all times. Sanitizer dispensers are available throughout the public areas.
  • Le Westin Montreal requires proof of vaccination with a photo ID to enter all public spaces at the hotel. If you have a Green Pass, please bring the long form. Indeed, bring plenty of proof and photo ID, just to be safe.
  • So long as we can be admitted to Canada with proof of vaccination and a negative test, but with NO mandatory quarantine requirement, we plan to go ahead with the meeting in Montreal. If this changes and it is necessary for us to switch to a virtual meeting, we will extensively publicize as soon as this decision is made.
  • By registering for and attending the meeting, you are acknowledging that an inherent risk of exposure to COVID-19 exists in any public place where people are present. Contactless ASA Annual Meeting
  • We will no longer accept checks or cash for on-site registration. Please register on the ASA web site with your credit card
  • We will not provide print programs. If you prefer print, please print it out yourself from our web site.
  • The ASA program is also available on our app Grupio, free from Playstore and AppleStore. Search "aesthetics" for our meeting.
 

Audio-Visual in the Session Rooms

  • As at past ASA meetings, each session room will have a projector and screen.
  • All rooms will have speakers attached to the projector, whether or not they were requested in Submittable.
  • Presenters are responsible for providing the laptop to hook up to the projectors.
  • It is recommended that session chairs arrange for one laptop for the session with everyone bringing their presentation on a thumbdrive
  • Each session room will have free wifi at 5 Mbps

    • download the free app from the Apple Store or Google Playstore
    • If you already have the app, please uninstall and reinstall so you can access the new content for 2021
    • search for "aesthetics" and you will find the 2021 meeting
    • We have added several features, including abstracts for each session

Registration:

  • Registration is now available on this web page with a credit card. Click the red REGISTER button on the upper-right of this page.
  • To pay with a check, please use the mail in form here.
  • A substantial discount is available for early-bird registration, at least 30 days in advance of the meeting, through October 17.
  • ASA members also receive a substantial discount. Be sure to log into this web site first before registering.

Lodging:

  • We hope you will join us in staying at the conference hotel. This helps us meet our lodging guarantee and receive free meeting rooms.
  • When you complete the meeting registration, you will be sent the link to book a room at the hotel at our conference rate of 219 CDN.
  • The booking deadline has been extended to November 1 for booking a room at our conference rate.
  • We urge you not to wait too long to book. We have an allotment of rooms and when they are gone, they're gone.
  • Please note that the room rates are Canadian dollars. With current exchange rates, the cost in US Dollars is about 75% of that rate.
  • In addition, you might be eligible to receive a rebate from ASA of $30 USD per night of your meeting registration for each night that you stay at the conference hotel at the ASA Conference rate. This brings the effective rate of the hotel lodging to $150 USD single or double.

Recommended Ground Travel from the Airport:

  • Cab from airport to Le Westin Hostel: fixed rate of 41 CDN - a 5CDN tip is appropriate
  • 747 Express bus: about 10 CDN: MAP
    • Go to the stop at Rene-Levesque/Jeanne Mance. It would only be a few dollars in a cab to the hotel from there.
    • To walk: briefly retrace the path on the bus, heading back in the direction of the airport for one block, past the Marriott hotel, until you come to Rue de Bleury.
    • Turn left down Rue de Bleury and continue, crossing Viger, until you come to Ste Antoine. (De Bleury may be renamed Pl Jean-Paul Riopelle after you cross Viger).
    • Turn left on Ste Antoine, and the hotel is on your right.

At its meeting September 17, the ASA Board of Trustees unanimously adopted this policy for commentators unable to present their comments in person at the 79th Annual Meeting in Montreal:

(1) Prepared comments should be read by the session chair or by a person present at the meeting designated by the commentator. Commentators are responsible for notifying the paper presenter and chair and sending the comments before the meeting.
(2) When comments are read at the session, the name of the commentator will remain on the program and the person is welcome to include on their personal CV.
(3) If prepared comments are not available, then the comment section of the session will be omitted, with extended time for discussion. The program committee will not be expected to recruit a substitute commentator.
(4) Commentators must be members of ASA, whether they present in person or by having comments read. Those not present at the meeting are not expected to pay meeting registration.
(5) If a paper presenter is unable to attend the Montreal meeting, papers will not be read, especially as genuine discussion would not be possible. They are encouraged to consider presentation of their paper at the 2022 Summer Virtual Aesthetics Festival now being developed or another venue.


Policy for the presentation of certain accepted papers on Zoom: In response to unusual circumstances presented by COVID for the 79th Annual Meeting in Montreal November 17-20, 2021, the ASA Board of Trustees today adopted this policy in a vote of 11-0-0-2:

(1) This is restricted to presenters unable to travel to Montreal owing to visa restrictions or to inability to obtain vaccinations acceptable for admission to Canada;
(2) Responsibility for all organizational and equipment requirements is on the presenter, commentator, and/or chair of that session, including provision of the needed laptop, Zoom license for scheduling the meeting, Zoom hosting, and appropriate security for access; they may request assistance from the program chair in meeting these requirements;
(3) The session organizers must notify the program chair to ensure that it is in a room with the speakers needed for the audience to hear the presenter and with appropriate provisions to allow interaction between speaker, commentator, and audience, so that there can be a viable question period;
(4) Paper presenters who present on Zoom under this policy must register for at least the one-day registration fee for the meeting;
(5) Persons wishing to take advantage of this option should contact the Program Chair at their earliest opportunity.
(6) Adoption of this policy in no way sets a precedent for the ASA meeting in 2022 and beyond; the issues for virtual presentation must be re-examined in view of then-current circumstances.

Thursday, November 18

  • The Feminist Caucus Committee will meet for lunch on Thursday, November 18. Everyone is welcome. You do not need to be a member of FCC.
  • $15 regular ASA member; $25 for non-ASA members; $0 for student/unemployed ASA members. 
  • Regardless of price, everyone who wishes to attend, must pre-register on the ASA registration site.
  • Registration for this luncheon will close on Monday, November 15, as we are required to give a firm headcount to the hotel.
  • The luncheon will offer a buffet with vegetarian and vegan offerings. If you have other special dietary needs, please contact: secretary-treasurer@aesthetics-online.org
  • Register when you register for the meeting. If you have already registered, you can amend your registration to add the luncheon by logging in again.

Papers or panel presentations were submitted to the meeting by 42 students. Papers submitted from persons eligible for the Chayes and Friends grants totaled 16. The student grants are for full-time students with papers or panel presentations accepted for the program. The Chayes and Friends grants are for presenters of papers or panel presentations without institutional travel funding for this meeting.

It is long-standing ASA policy that every person on the program at an ASA meeting must be a member of ASA. Submissions from persons who are not members are welcome, but if accepted, you must join ASA within 30 days after notification or be replaced on the program.

For this meeting only, the ASA Trustees have approved use of video presentations under certain circumstances:

The Trustees will waive the policy of January 2020 prohibiting video presentations, for panels only. (https://aesthetics-online.org/resource/resmgr/files/Policy_on_Use_of_Video_Prese.pdf) These panels should be restricted to no more than two video presenters for a panel session. ASA will provide one room with speakers (as ASA always does) and purchase an upgrade to high-speed internet for that room, where all such panels should be assigned. The panel organizer is responsible for bringing the laptop needed to loop in the video panelist, hook up speakers, and share questions from the in-person audience. Single paper presenters who cannot attend should be replaced on the program with an alternate. Panels with more than two members presenting via video should be dropped from the program.

Please note:

  • The panel organizer must notify the program chair if a remote panelist will be included, so the panel can be moved to the room with speakers
  • The panel organizer is responsible for the laptop needed to loop in the video panelist, hooking up speakers, and sharing questions from the in-person audience
  • The panel organizer is responsible for scheduling the Zoom access on their own Zoom account or the Zoom account of the remote speaker
  • The meeting rooms have wifi at 5Mbps, which the hotel AV staff assure us is adequate for Zoom.
  • If more than two panelists want to present remotely, the panel should be cancelled and the program chair notified.

Policies on Discrimination, Harassment, and Respectful Behavior

The revised ASA Policies (effective July 12, 2019) will be in effect for this meeting. The ASA Ombudsperson will be present throughout the meeting.

Policies for Accessibility at ASA Meetings

Policies on Meeting Cancellations and Registration Refunds

The ASA Board of Trustees adopted policies on meeting cancellations and registration refunds which went into effect in 2018. The policies can be found here. If you cancel more than 30 days before the start of the meeting, you will receive a full refund of your registration. Hotel bookings can be cancelled up to 72 hours before check-in without penalty.

Travel support: Requests for travel support must be made when the paper or panel proposal is submitted and they are no longer available for the 2021 meeting.

IRENE H. CHAYES TRAVEL GRANTS: For the 2021 Annual Meeting, eight travel grants of $1,000 USD each were available to support travel to the annual meeting for persons with papers or panel presentations accepted for the program who have no other access to travel funds at their institution(s) during the academic year.

FRIENDS OF ASA TRAVEL GRANTS: For the 2021 Annual Meeting, up to eight travel grants of $1,000 USD each were available to support travel to the annual meeting for persons with papers or panel presentations accepted for the program who have no other access to travel funds at their institution(s) during the academic year.

The program committee made the final decisions on which persons receive Chayes or Friends travel grants. If more persons with accepted papers are eligible than available funding, the committee decided which, based on merit, programmatic, and diversity priorities, should get the awards

STUDENT TRAVEL GRANTS: All full-time students with papers accepted for the program will receive a travel grant of $1,000 to support travel to the annual meeting. There is no upper limit on the number of these grants.
